We are the “East Dorset Open Water Swimming Club”. Our website address is: http://www.eastdorsetowsc.org. What personal data we collect and why we collect it
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Our website contains forms with which you may use to contact us. The form forwards your message in the form of an email which will be kept on our servers and be treated in an identical manner to other direct email. The email message and associated metadata may be kept indefinitely and will be stored on our servers. Email may also be downloaded to local email clients such as personal computers and mobile devices and the users of these devices have been trained and made aware of their data protection responsibilities.
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we amend or erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data
Web content and personal information as specified above including comments and email is protected by industry standard anti spam and anti malware protection. Administrative logins are protected by strong passwords, two factor authentication and is restricted to specific IP addresses. If data is downloaded or printed for any reason it will be handled by a committee member or by persons authorised by the committee who have been trained and made aware of their data protection responsibilities. Paper records that later become redundant will be securely disposed of.
